Time Line

12 - 18 months before departure

  • Choose challenge in conjunction with Classic Tours.
  • Devise a targeted marketing strategy drawing on Classic Tours’ expertise.
  • Allocate staff to promote the event.
  • Send letter of intent to Classic Tours.
  • Plan promotional literature and registration pack using images and information from Classic Tours.

12 months before departure

  • Attend Product Knowledge Seminar run by Classic Tours so confident about selling challenge.
  • Launch the event.
  • Follow up every enquiry with an email or ‘phone call.
  • Start taking registrations.
  • Send out sponsorship forms and fundraising ideas.
  • Event added to Classic Tours website.

10 – 11 months before departure

  • Flight deposits required by airline to secure seats – usually £50 approx. per person.
  • Agreement received when flights confirmed.  Sign and return.
  • Offer support and encouragement with participant fundraising.
  • Send out training guidelines.
  • Forward medical forms to Classic Tours.

6 – 8 months before departure

  • Arrange an Information Day for those registered / those who have enquired.
  • Send out training weekend date(s) organised by Classic Tours.
  • Distribute more information about the challenge – travel insurance details, visa advice, packing list, flight extension booking form etc.

10 weeks before departure

  • Receive 100% of sponsorship money from each participant and request proof of travel insurance. 

8 weeks before departure

  • Advise Classic Tours of final number of participants.
  • Send participants names, dietary requirements and proof of insurance to Classic Tours.
  • Payment due by Classic Tours for tour cost less flight deposits plus airport tax.

6 weeks before departure

  • Send Classic Tours information about each participant – passport details, next of kin etc.
  • Compile room sharing lists.

4 – 6 weeks before departure

  • Receive airport procedure information, luggage labels and ATOL invoices.

2 - 4 weeks before departure

  • Send out final letter to participants.  (Classic Tours to advise on content).
  • Receive Emergency Guidelines / Contact Details.
  • Post Challenge
  • Reconciliation of accounts by Classic Tours.
  • Debrief meeting arranged.
